Difference between IAS LastPass and Personal LastPass

LastPass.com has a free service for personal accounts. We recommend that everyone use it, or another password safe application, to keep your passwords safely stored and available for your usage. It is important that you store your personal passwords (Social Media, Banking, School, etc) passwords separate from your IAS LastPass account. This way, if your career moves you to a different place of employment, you don't have to worry about your personal passwords being left behind at the IAS. This is why we recommend using both solutions.

When creating your personal account, you shouldn't use your @ias.edu email address. It will complicate things when you eventually start using your IAS LastPass Enterprise account which requires your @ias.edu email address.

What should I store in my IAS LastPass account?

  • Your main IAS password that allows you to log into websites and other IAS resources (like email).
  • IAS username and password to log into 3rd party sites for business reasons, like Mailchimp, or SchoolDude.
  • Shared passwords within your business unit (when individual passwords aren't applicable).
  • IAS related social media accounts (Facebook, Twitter, Instagram for IAS usage).

What should I store in my personal LastPass account?

  • Passwords for personal Social Media accounts (non-IAS related Facebook, Twitter, Instagram, etc).
  • Passwords for personal bank account information
  • Passwords for personal email addresses

In the IAS Lastpass account, what are shared folders and when should I use them?

Shared folders allow your business unit or group to share some passwords between members of your team. Perhaps your team manages a library account, or sends bulk emails using an bulk email delivery service. These type of business resources may only allow a single account for your team to share. By placing this into a shared folder, you allow your team to use and manage that password. If one of your team members is asked to change the password, when they update LastPass, all team members will get the update.

When a team member is added to your business unit, they will have access to the shared folder in order to fulfill their job function. If they change job functions later and are moved to a different group, they will no longer have access to the shared password. This makes it easy to manage sensitive resources like shared passwords.

What if I forget my master password?

If you forget your master password, please contact your computing helpdesk and they can help you recover your IAS account. If you forget your personal master password, you must contact LastPass.com for recovery procedures. Hopefully, you have set up some backup methods to ensure your personal master password is never lost (like putting a copy of your master password in a safe or safe deposit box).

Should I use Multifactor for my account?

Multifactor, or two factor authentication, keeps your account better secured. It ensures that you use something you know (passphrase) and something you have (your phone or other device) to log in. If someone steals your master password, they won't be able to log into your account without the second factor. We recommend that all users set up a second factor, both for your IAS and your personal LastPass accounts. There are many choices with LastPass and the majority of them are free for you to use. Please contact your computing helpdesk if you need help setting one up.

How do I use LastPass?

LastPass provides many help documents and tutorials to guide you. Once you have signed into LastPass, Open your vault and go to "More options" -> Help -> Tutorials or "Vault Tours" to get a run down. If you have any other questions, please contact your computing helpdesk.

Troubleshooting

If you have issues with LastPass not showing you all of your passwords on a particular device, you can try the following procedure. Find the "Clear Local Cache" item. In Android it is under Settings -> Actions. In the Chrome plugin it is under More Options -> Advanced. This will remove your local cached copy of your passwords. Then select "Refresh Sites" in the same menu. This will force LastPass to re-download your passwords from the cloud. This should restore your passwords successfully on your troublesome device.
